# Proofs and data retention

> What LedgerTime stores for client-approved proofs and how long it is kept.

When consultants upload a **client-approved proof**, LedgerTime stores the file and related extraction data so approvals and invoices have evidence.

## What we store

* The proof file (PDF / JPEG / PNG / WebP)
* Metadata such as filename, size, and uploader
* OCR extraction output and optional correction samples used to improve accuracy
* Inbound email audit records when proofs arrive by email

Proof files are **not public**. Downloads require a signed-in user with access to that org’s proof.

## Retention

During beta, proofs and extraction data stay for the **life of the organization** unless deleted on request. There is no automatic expiry yet.

If your firm needs a proof removed, ask an **org admin** to delete that proof in product support workflows, or contact [support@ledgertime.io](mailto:support@ledgertime.io).
